Job Description
Primary Function
As a Design Assistant, you will work in tandem with the owner/designer to maintain the day-to-operations of the company. This includes bringing a design to life by documenting selections, arranging for the acquisition of necessary tools and products, researching product options and ordering necessary materials, and to serve as a liaison between the designer and vendors. You may also be called upon to participate in the design process, such as recording field measurements and sourcing products. You will be tasked with clerical and administrative duties or asked to complete tasks of both personal and business nature, as needed by the owner/designer. Individuals in this position typically work in an office setting, although site visits to clients’ homes and suppliers are generally required. Communications skills are essential to establish the working relationships with designers and clients.
Principle Duties & Responsibilities
1. Execute and maintain open, daily communication with designer
2. Accompany Designer to Client meetings at showrooms or at job sites for documentation purposes (take detailed meeting minutes and record for company record)
3. Maintain comprehensive and accurate records such as spreadsheets, material selection documents, and files on a per job and/or client basis; these tasks must be executed in timely manner to meet all imposed deadlines
4. Holds responsibility for success of projects assigned, including:
  • Timely ordering of products and materials for projects
  • Checking estimates and orders for accuracy and timely delivery
  • Timely identification of problems and proposal of creative solutions
5. Maintain relationships with vendors and manufacturers.
6. Manage and control project costs by maintaining a detailed log of hours and mileage for each project or administrative categories
7. Drive new client sales and maintain past client relationships for company growth and maintenance.
8. Foster an enthusiastic, creative, "can do" attitude, and share the responsibility for the Company and Industry success in reaching its goals
9. Assist Designer with projects when applicable
10. Draft and maintain content for social media accounts and special events.
11. Manage company calendar, organize meetings, make phone calls to clients and confirm all appointments.
12. Assist with administrative tasks such as drafting and/or editing emails, and coding and organizing company expense receipts.

Desired Skills & Qualifications
▪ Worked for minimum of 5 years in a interior design role
▪ BS or BA degree preferable in management, or experience equivalent
▪ Thorough understanding of design and remodeling both within Company and the industry
▪ Understands design intent and can work through low levels of detail, ability to read and interpret plans, details and specifications. Can visualize in three dimensions from two-dimensional data
▪ Computer literacy – complete competency in MS Word, Excel, Google Sheets, Google Slides, Google Docs, Power Point, and industry specific software (IVY.co) for managing change order, job cost and related project commitments. Experience with Chief Architect a big plus!

▪ Marketing and Social Media literacy - competency in Instagram, Facebook, Houzz.com, Next Door, and LinkedIn and other platforms as needed
